Tender capability profile template for small teams
A capability profile is useful when another person can read it and understand exactly which work to investigate. Broad marketing copy makes this harder. Start with a short operational description and clear exclusions.
Use six fields
Company website; services delivered; service synonyms; delivery locations; work excluded; review contact. Keep the services concrete, such as application migration assessment, rather than “end-to-end transformation”. Synonyms help a human reviewer recognise different wording, but should not expand the service beyond what the team actually delivers.
Keep evidence in a separate register
Maintain a private record of references, certifications, insurance or specialist qualifications where relevant. Link each item to its owner and review date. Do not assume a screening service has verified those records. Whether a particular item is required or sufficient depends on the current tender documents and needs a separate review.
Write exclusions in positive operational terms
State the boundaries the reviewer can apply: remote-only delivery, no hardware resale, no full-time staffing supply, or specified supported regions. Avoid long lists of negative keywords without context. For example, a notice mentioning hardware may still contain a separately relevant software-services lot.
Review the profile after real decisions
After a small batch of reviews, inspect the reasons for archiving notices. If the same mismatch recurs, clarify the service boundary. Keep a dated version so you can tell which profile informed each review. J8VEST onboarding uses one company profile by email; share business-level information and avoid sending confidential client data or credentials.
Keep this checklist
- Describe activities you can deliver now.
- State regions and service exclusions clearly.
- Assign ownership and date each profile version.
Official starting points
Use GOV.UK’s Find a Tender entry point and the official Find a Tender service for the original notices. The workflows and fictional examples above are J8VEST’s practical suggestions, not government guidance or a claim about a live procurement.
