Free tender shortlist worksheet with source evidence
A useful tender shortlist is small enough to review and detailed enough to act on. It should explain why an item is present, what remains unknown and who will take the next step. A title and a deadline rarely achieve that alone.

Make one notice easier to review
Keep published facts, your interpretation and the next question in one place. Fill in what you know, then download a plain-text review note for your team.
Your entries stay in this tab and are not sent to J8VEST. Download before leaving; this page does not save your work. Use public notice details, not confidential bid information.
Complete the title and source URL to build your note. Blank optional fields will be marked unknown.
This organises your own notes. It does not read the linked notice, check dates, assess eligibility or recommend a bid. Check the latest official notice and full tender documents.
Would regular first screening help your team?

Use a consistent row structure
For every notice, record: notice title, official URL, date checked, relevant service or lot, stated delivery location, apparent match, unresolved questions, review owner, next action and internal review date. Leave absent information explicitly unknown. You can use these fields in an ordinary spreadsheet or shared document.
Keep source text separate from interpretation
A short quotation or precise paraphrase tells the reader what was published. A separate “why review this” field explains your team’s interpretation. This makes it easier to challenge a weak match without losing the original evidence. Always retain the official link so reviewers can read the full current material.
Avoid counting the same pursuit twice
Related notices, amendments or multiple lots may belong to one procurement. Keep the source identifiers and relationships visible in your own review log. Decide whether you are tracking notices, lots or potential pursuits, and use that unit consistently. A higher row count is not necessarily a larger commercial pipeline.
Close the loop on archived items
Record a short reason when an item leaves the queue, such as wrong service, unsupported location or unsuitable timing. Reviewing those reasons helps improve the next screening brief. J8VEST’s source-cited signals are an input to a shortlist; ownership, deeper review and pipeline management remain with your team.
Keep this checklist
- Give each apparent match a source.
- Distinguish notices from commercial pursuits.
- Record decisions as items leave the shortlist.
Official starting points
Use GOV.UK’s Find a Tender entry point and the official Find a Tender service for the original notices. The workflows and fictional examples above are J8VEST’s practical suggestions, not government guidance or a claim about a live procurement.
